Welcome to NeuroCare VA and Neuro Scribe, services owned and operated by NeuroCare VA. These Terms & Conditions govern your access to and use of our services. By using our services, you agree to these terms.


1. Services Offered

NeuroCare VA provides:

  • Neuro Scribe: AI-powered clinical note generation for mental health professionals.

  • Virtual Assistant Services (NeuroCare VA): Administrative and front-desk support for licensed providers.

These services are intended solely for use by licensed mental health professionals.


2. Order & Checkout Process

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

All purchases are made through our website. We do not send checkout links directly, nor do we handle buyer card details, ensuring PCI DSS compliance.

Before purchase, all fees, subscription terms, and service descriptions are clearly displayed. By proceeding with payment, you accept these Terms & Conditions and our Refund Policy.


3. Payment Terms

  • Neuro Scribe: Subscriptions are billed in advance and auto-renew monthly unless cancelled prior to renewal.

  • NeuroCare VA (Virtual Assistant): Billed in arrears monthly. You will be charged at the end of each month based on actual hours worked by your assigned assistant. If you discontinue mid-month, you are responsible for the hours worked up to that point.

Billing information must be accurate and up to date. Non-payment or chargebacks may result in service suspension.


4. Refund Policy

We offer a 14-day refund window for partial subscription periods after your subscription starts. You may cancel renewals anytime. Refund requests must be submitted within 14 days of the transaction.

5. User Responsibilities

You agree to:

  • Use our services in compliance with HIPAA and applicable laws

  • Not misuse, copy, redistribute, or exploit our services without permission

  • Provide accurate and lawful information at all times


6. HIPAA Compliance

We use encrypted storage and communication systems to maintain confidentiality. Users remain responsible for data accuracy and lawful handling under HIPAA.

After completing payment, services will be made available promptly. If a license or access setup is required, instructions will be sent via email.

10. Dispute Resolution

We strive to resolve all concerns efficiently. If you are unsatisfied, you may contact our support. For billing disputes, Paddle will handle chargebacks and appeals.


11. Changes to These Terms

We may update these Terms & Conditions from time to time. Continued use of our services constitutes acceptance of any updates.
